To create new dropdowns and make changes to existing dropdowns, you must have access to the configuration choices in the Work Orders menu as shown below. If you don’t see these choices, please contact your system administrator to set the “Manage Workflow” in your user setting to “Yes”.
Select Configure Drop Downs under Workflow from the left navigation bar. This will bring you into the workflow module and open the Manage Dropdowns window.
Create a New Dropdowns
- In the Manage Dropdowns window, press the “NEW DROPDOWN” button at the top right corner. This will open a blank dropdown window.
- Enter the name of the dropdown in the “Dropdown Name” field.
It is recommended to search for the name of Dropdown using the Search function to ensure uniqueness.
- If you want a name displayed when the mouse is placed over the dropdown name, enter the name you want to display in the “Dropdown Hover Text” field. This is not a mandatory field.
- To add dropdown items
- Press the “+ Add” to activate the option field
- Enter the item in your dropdown list in the ‘Option Name” column.
- Press the “Update” button to save the change.
- Repeat Step a to Step c until all dropdown items are added
- Press the “+ Add” to activate the option field
- When you finish, press “Submit” to save your changes. If you want to discard all changes, press “CANCEL”.
Note:
- Dropdown options will be displayed in Alphabetic order. If you want the options to display in a specific order, you can add numbers in front of them to force the display order.
- Dropdown names are not required to be unique. However, it is better to search for the dropdown name before creating the new one to ensure uniqueness. This will help to avoid confusion.
Edit an Existing Dropdown
- In the Manage Dropdowns window, click the dropdown item you want to edit. This will open the editing window.
- Make any necessary changes.
- All existing fields can be edited.
- To edit an existing item
- Click on the item,
- Press the “Edit” button to activate the editing mode
- Make necessary changes
- Click the “Update” button to save the change
- Check the “Disabled” box next to the option name to hide the dropdown option.
- If you don’t want the dropdown list displayed, you can disable the dropdown by checking the box before “Disabled”.
- When you finish, press “Submit” to save your changes. If you don’t want to make any changes, press “CANCEL”.
